CHANGE IN WARRANTY CLAIM REJECT PROCEDURES

EFFECTIVE IN NOVEMBER 1982, THE REJECT EXPLANATION DOCUMENT (RED) WILL BE ELIMINATED. THIS CHANGE BRINGS US ANOTHER STEP CLOSER TO THE ULTIMATE GOAL OF A PAPER FREE WARRANTY SYSTEM.

AS YOU KNOW, A RED WAS ISSUED FOR CERTAIN CLAIM REJECTS (WHICH AMOUNTS TO 55% OF TOTAL REJECTIONS AND DENIALS). THE RED REPRESENTED DEALER CLAIM INPUT AND INCLUDED APPLICABLE ERROR CODES NOTED BELOW INVALID ENTRIES. WITH THE ELIMINATION OF THE RED, DEALERS WILL UTILIZE THE CLAIM MEMORANDUM, THE DCS INPUT PRINTOUT OR WARRANTY DOCUMENT AND THE REPAIR ORDER TO RESOLVE AND/OR VERIFY ALL CLAIM REJECTIONS AND DENIALS.

THE CLAIM MEMORANDUM WILL BE MODIFIED TO REFLECT ALL ERRORS ON A CLAIM AND WILL REFLECT ONE THE THE THREE FOLLOWING MESSAGES:

CLAIM REJECTED FOR REASON (S) XX,XX,XX

THESE CLAIMS SHOULD BE REVIEWED FOR POSSIBLE CORRECTION AND RESUBMISSION.

CLAIM DENIED FOR REASON XX

THESE CLAIMS SHOULD BE REVIEWED AND IN MOST INSTANCES THE DEALER'S 263 ACCOUNT SHOULD BE ADJUSTED TO REFLECT THE PAYMENT DENIAL.

CLAIM BEING REVIEWED FOR REASON(S) XX,XX

NO DEALER ACTION IS REQUIRED ON THESE CLAIMS AT THIS TIME. THESE CLAIMS WILL EITHER BE CREDITED OR A REJECTION MESSAGE WILL BE SUPPLIED ON A SUB- SEQUENT CLAIM MEMORANDUM.

PLEASE MAKE SURE ALL PERSONNEL INVOLVED IN THE WARRANTY CLAIMS ACTIVITY ARE AWARE OF THESE NEW PROCEDURES.
