The New Vehicle Receiving and Inspectio Procedures using the new five-digit damage code system have been in use for several months now. Experience to date has shown that a high percentage of incorrect five-digit codes are being listed on the Carrier Delivery Receipt at the time of inspection.
In order to assist dealers in the inspection of new vehicles, enclosed are two copies of a plastic New Vehicle Inspection Guide. These guides are to be used by dealership personnel directly responsible for the inspection of new vehicles. Please pay particular attention to the Damage Type Codes (third and fourth digits of the same code) as most incorrect combinations are the result of this type code assignment. Thorough understanding of the procedures outlined in the New Vehicle Receiving and Inspection Procedures Manual (pages 10-26) and the January revision of the Warranty and Transportation Claim preparation Guide (pages 33-38), will ensure that claims for transportation damage submitted by your dealership will be promptly processed and paid.
1. If there are multiple instances of damage to the same area of the vehicle (same damage area code, such as dented left front door and damaged left front door moulding), then a five (5) digit damage code must be entered on the delivery receipt to describe each instance of damage. The additional damage codes are to be entered in the blank spaces provided at the bottom of the damage code portion of the delivery receipt. If no blank spaces are provided then make notations by entering a five (5) digit damage code in the dealer remarks section located in the lower portion of the delivery receipt.
2. Damage notations for a damage area not defined or covered by an existing damage area code are to be noted by selecting the most appropriate damage area code. The code selected is to be used with the correct damage type and damage severity code. For example, a broken dome light would be noted as "Dome Light 98-02-0". Such notations would be entered on the delivery receipt in the same area of the delivery receipt used for multiple instances of damage.
3. Deferred Inspection - To insure that a vehicle has been accepted under the terms required for a valid deferred inspection, the dealer's inspector must:
Check the deferred inspection box on the delivery receipt. Fill in the reason for the deferred inspection in the Dealer Comment section of the delivery receipt. Sign the delivery receipt. Have the carrier's driver sign the delivery receipt.
Follow all additional instructions concerning deferred inspections as covered in Section II of the Servie Policies and Procedures Manual.
4. Non-Working Hours Deliveries - To insure that a claim for a non-working hours delivery will be honored by the delivering carrier, the dealer's inspector must:
Check the non-working hours box on the delivery receipt. Note all damage including concealed damage on all copies of the delivery receipt. Send the carrier copy of the delivery receipt to the delivering carrier within the allotted 72 hour time period. The use of certified mail, return receipt requested is recommended. If the above steps are followed, it is not necessary to send a Letter of Notification to the delivering carrier. Additional instructions are provided in Section II of the Service Policies and Procedures Manual.
