THERE APPEARS TO BE A CONTINUING MISUNDERSTANDING ON THE PART OF MANY DEALER PERSONNEL ON EXACTLY WHICH REPAIRS REQUIRE ZONE APPROVAL PRIOR TO SUBMISSION OF A WARRANTY CLAIM. UNLESS SPECIFICALLY REQUESTED BY ZONE PERSONNEL, FOLLOWING ARE THE ONLY ITEMS REQUIRING PRIOR APPROVAL:
1. CLAIMS CONTAINING LABOR OPERATION NUMBERS DESIGNATED WITH POLICY CODE A IN THE CURRENT LABOR TIME GUIDE. THESE CONSIST PRIMARILY OF MAJOR PANEL PAINT REFINISH OPERATIONS AND REPLACEMENT OF REPAIRABLE ASSEMBLIES.
2. CLAIMS REQUESTING "OTHER LABOR HOURS", WITH THE EXCEPTION OF : (1) PAINT MIX TIME, (2) PAINT IN CONJUNCTION WITH METAL REPAIR AND (3) ADMINI- STRATIVE ALLOWANCES FOR AC DELCO, CAMPAIGN AND ROOSA MASTER DIESEL REPAIRS.
3. ADDITIONAL CREDIT CLAIMS (TYPE CODE D).
4. SERVICE PARTS REPLACEMENT WARRANTY CLAIMS (TYPE CODES B&C).
5. CLAIMS EXCEEDING THE WARRANTY PERIOD (I.E., 12/12, 24/24 ETC.) APPLICABLE TO THE SUBJECT REPAIR FOR WHICH POLICY CONSIDERATION IS BEING REQUESTED.
YOU WILL NOTE THAT OVERAGE CLAIMS ARE NOT INCLUDED ABOVE. THE REASON THEY HAVE BEEN EXCLUDED IS THAT YOU HAVE 180 DAYS FROM THE REPAIR ORDER DATE IN WHICH TO GET YOUR CLAIMS PROPERLY SUBMITTED AND PAID. AFTER THIS TIME PERIOD, CLAIMS WILL NO LONGER BE ELIGIBLE FOR PAYMENT.
CLAIMS NEEDLESSLY HELD FOR APPROVAL ONLY DELAY PAYMENT AND PLACE AN ADDED BURDEN ON BOTH DEALER AND ZONE PERSONNEL. RECENT MONTHS FIGURES INDICATE THE AVERAGE TIME FROM REPAIR ORDER DATE TO RECEIPT OF CLAIM AT CADILLAC IS 20 TO 25 DAYS. DELAYS IN PREPARING CLAIMS AND HOLDING THEM UNNECESSARILY FOR APPROVAL DIRECTLY IMPACT DEALER CASH FLOW. WE ASK THAT ALL DEALER EMPLOYES CONNECTED WITH WARRANTY CLAIMS PREPARATION AND SUBMISSION FULLY UNDERSTAND THESE REQUIREMENTS TO MINIMIZE THE DISTRICT SERVICE MANAGERS CLAIMS WORKLOAD WHEN CONTACTING YOUR DEALERSHIP AND TO REDUCE THE TIME LAG IN RECEIVING YOUR CREDIT.
