Occasionally dealerships are inappropriately overpaid for a warranty claim. In order to simplify the process to resolve an overpayment, dealers can now enter a debit directly into the warranty claim system through DCS. We believe that this enhancement will allow you a more timely posting to your warranty receivables account.
A debit claim must be submitted as a claim type "G" with an authorization. Dealers with self-authorization should use an 8V Zone authorization is needed for those dealers without self-authorization. Service management review is mandatory, with appropriate documentation on the scrapping copy of the R.O.
Much of the information required for debit submission can be obtained from the prior paid claim on the credit memo. The following information must be entered on the debit submission:
o R.O. number*
o R.O. date*
o Vehicle Identification Number*
o Mileage*
o Failure Code*
o Labor Operation*
o Entries are not allowed in the part count, part number, part allowance, labor hours, or other labor hours columns.
o Enter overpayment amount in the net item/sublet field.
o Claim Type (G)
o Dealership self authorization code 8V or Zone authorization
* These items must be exactly the same as in the original paid claim.
