In order to bring our one-line warranty claim system one step closer to our goal of a paper-free system, the Reject Explanation Document (R.E.D.) will be eliminated from our system in December 1982. It is extremely important that dealership personnel working with warranty claims fully understand all procedures for proper submission and especially proper filing of all documentation pertaining to warranty claims. Any claim that is rejected or denied will have an appropriate message(s) printed on the claim memorandum. This is the only message the dealership will receive on rejected or denied claims. Documents pertaining to warranty claims will be: claim memorandum, warranty document or DCS terminal input printout, and the repair order. These are the only documents available for claims reconciliation and must be available for consideration to be given for resubmission of rejected or denied claims.
The claim memorandum format will be changed to show all errors on a claim and will print one of the following messages:
Claim Rejected For Reason(s) xx, xx, xx
These claims should be reviewed for possible correction and resubmission.
Claim Denied For Reason xx
These claims should be reviewed and in most instances the dealer's 263 account should be adjusted to reflect the payment denial.
Claim Being Reviewed For Reason(s) xx, xx
No dealer action is required on these claims at this time. These claims will either be credited or a rejection message will be supplied on a subsequent claim memorandum.
Please make sure all personnel involved in warranty administration are aware of these changes in procedure.
